Prepare the documents for your actual booking
Start a quote request with the bike model, condition, route and preferred date. You do not need to upload private identity documents just to ask for a price. Before pickup, confirm the document copies required for your vehicle, ownership and transport arrangement.
A practical document checklist
| Document or detail | What to check |
|---|---|
| Registration Certificate (RC) | Keep a clear copy available and check that the registration and owner details match the vehicle. |
| Vehicle insurance | Have the policy details available. Existing motor insurance and separately arranged transit cover are not automatically the same thing. |
| Identity and authorisation | Confirm the accepted proof and who is authorised to hand over and receive the bike. |
| Financed or company-owned vehicle | Disclose the situation before booking and check any lender or company permission requirements. |
| Booking record | Keep the written quote, agreed addresses, payment receipts and pickup reference. |
Retain originals unless a specific verification requirement has been explained. Confirm the accepted format before relying on a phone screenshot or digital record for a particular handover. Do not leave original personal documents hidden in the bike’s storage.
When the owner, sender and receiver differ
If the RC is in a parent’s, spouse’s or another person’s name, tell us before pickup. Confirm the authorisation needed and the sender and recipient contact details. The person receiving the bike should have the booking reference and condition photos.
For a company vehicle, ask the authorised company representative about permission and required paperwork. For a financed vehicle, check relevant loan conditions with the lender. A transport booking does not override an ownership or finance requirement.
Missing RC or an ownership transfer in progress
Disclose a missing document or pending transfer before paying or arranging collection. Confirm whether the available records are acceptable for the proposed shipment and contact the relevant authority for replacement or transfer requirements. Do not assume a sale receipt alone replaces every ownership document.
If a document has a mismatch, resolve it before handover rather than asking the receiver to explain it at the destination.
Check the pickup receipt
- Business contact and booking or consignment reference.
- Bike model and registration details.
- Agreed pickup and delivery addresses and receiver contact.
- Pickup date and the estimated delivery window.
- Condition notes, keys and any listed accessories.
- Agreed charges, payment record and balance where applicable.
- Separately arranged insurance details, if chosen.
Keep these records together with the dated photos. A consignment tracking number is provided for shipment updates. Read how the booking and handover work.
Insurance documents to request
For ICICI Lombard transit cover arranged at the stated 3% of declared bike value, ask for the issued schedule and conditions. Check the insured vehicle, value, journey, coverage period, exclusions, deductible and claim notification process.
A verbal assurance or a transport receipt is not a substitute for the policy. The charge is separate from transport, and a claim is assessed under the issued terms.
Transport and registration formalities are separate
Moving the bike does not itself complete ownership transfer, registration, tax or permission requirements at your new location. The right process depends on your circumstances. Check with the relevant transport authority before relying on the bike for a long-term relocation. This page does not offer a blanket exemption or a universal NOC rule.
If booking a railway parcel independently, confirm the current document and acceptance requirements directly with the parcel office. Our door-to-door booking process is separate from Indian Railways.
Keep personal information limited to what is needed
Confirm the recipient and sharing method before sending document copies. Avoid including identity numbers or bank information in an initial website enquiry. Our privacy notice explains enquiry handling.
Organise the owner, sender and receiver details
Write down the three roles before pickup. The registered owner gives the ownership information, the sender attends collection and the receiver checks the bike at the other end. They can be different people, but the booking record should make the arrangement clear.
Details to prepare for the booking discussion:
Registered owner and registration number
Bike make and model
Person handing it over in Delhi
Person receiving at the destination
Route, addresses and preferred dates
Document copies and any signed authorisation requested for this booking
Use this as an information checklist. If an authorisation letter or another signed record is required, have its wording and acceptance settled before collection. Do not add ID copies to a casual quote message or leave original documents in the bike’s storage.
A pickup receipt and an insurance policy do different jobs
The pickup record identifies the bike, condition and items handed over. The issued insurance policy or certificate describes the insured journey, cover and claim conditions. Keep both, along with the quotation and receipt, instead of treating one document as a replacement for the other.
Official help for an NOC enquiry
Parivahan identifies Form 28 as the application used for a vehicle No Objection Certificate with the previous registering authority. Its official NOC guidance lists the supporting records. Use the relevant authority’s process for your circumstances; a carrier booking does not complete registration work.
Before the pickup date
Confirm the document list, owner and recipient details, exact addresses and any unresolved issue. Then use the bike preparation checklist so the vehicle and paperwork are ready together.
